Asset Inventory, Verification and Documentation Services

An asset inventory turns fragmented lists and inconsistent data into an organised, traceable register that can support management, audit, insurance and later valuation. We design the data model and classifications with the client, then carry out field identification, documentation, reconciliation and exception management.

A structured asset register that supports management and decisions

Established in 2017, Taqdeer's team brings more than 25 years of cumulative experience across assets, valuation, real estate and industrial sectors. Every project begins by defining the sites, asset classes, fields, naming rules and required delivery format.

Defined scope

Asset classification, register cleansing, field inventory, documentation, tagging, reconciliation and exception management.

Practical uses

Register creation or cleansing, ERP support, audit, insurance, maintenance and preparation for valuation or transactions.

Structured outputs

Asset registers, reconciliation and exception lists, executive summaries, and photographs or field evidence under the agreed scope.

Scope of asset inventory services

  • Design the asset taxonomy, mandatory fields and naming rules with the client.
  • Receive, profile and prepare the existing register for field reconciliation.
  • Identify assets and record their location, description and observed operating condition.
  • Capture serial numbers, identifiers, photographs and other agreed data.
  • Apply or replace identification labels where tagging is included in the contract.
  • Reconcile physical findings against records and identify missing, surplus, duplicated or moved items.
  • Issue a final register, exception lists and summary reporting suitable for the target system.

Types of assets the inventory may cover

  • Machinery, equipment, production lines and operational utilities.
  • Furniture, fixtures and office assets.
  • Information and communications technology equipment.
  • Vehicles, transport and handling equipment.
  • Tools, small equipment and spares where included under the inventory and capitalisation rules.
  • Property units and supporting records where an administrative real estate inventory is required.

Common asset inventory purposes

  • Build a new asset register or cleanse an existing one.
  • Prepare for ERP or asset-management system implementation or migration.
  • Support audit, reconciliation and internal-control work.
  • Prepare data for insurance, maintenance or replacement planning.
  • Prepare for a later valuation, transaction, merger or ownership transfer.
  • Inventory assets across multiple sites and standardise classification and tagging.

How the asset inventory is delivered

Design the scope

Define sites, asset classes, capitalisation threshold, fields and delivery format.

Profile the register

Examine, standardise and prepare current data for reconciliation.

Run a pilot

Complete a sample area or site to validate the template and productivity assumptions.

Complete field inventory

Identify assets and capture agreed data, photographs, tags, location and condition.

Reconcile

Compare field results with records and investigate duplicates, differences and exceptions.

Approve and deliver

Review findings with client representatives and issue the final register and reports.

Documents and data typically required

  • Current asset register in its native format and any site-level or departmental lists.
  • Chart of accounts, capitalisation policy and existing classification rules, if available.
  • List of sites, buildings and departments, with floor plans or area maps where available.
  • Current tagging rules, label formats and asset numbers.
  • Purchase, custody, warranty or maintenance data needed for reconciliation.
  • Site coordinators, access permissions, safety requirements and photography rules.
  • Target-system field map or import template where delivery is being prepared for that system.
Indicative timing: timing depends on the number of sites and assets, class diversity, existing data quality, required fields, access hours, and tagging and photography requirements. A pilot may establish a realistic productivity rate before the schedule is confirmed and updated for field findings.

Asset inventory deliverables

  • Structured asset register in the agreed fields, classification and format.
  • Reconciliation list identifying found, missing, surplus, duplicated and moved assets.
  • Log of new and replacement tags where tagging is included.
  • Photographs or other field evidence linked to assets, subject to scope and client policy.
  • Exception report covering missing data and decisions required from the client.
  • Executive count summary by site, class and condition, without representing an opinion of value.

Frequently asked questions

What is the difference between asset inventory and valuation?

Inventory establishes what exists, where it is, and its available identifiers and observed condition. Valuation provides a professional opinion of value for a specified purpose and date. Inventory can prepare the data for valuation, but one does not replace the other.

Can the service include barcode or QR-code tagging?

Yes, tagging can be included after the label type, data fields, numbering scheme and operating environment are agreed. Labels and their supply are not assumed unless explicitly included in the proposal.

Can the data be delivered for import into an ERP system?

Yes, provided the client supplies the import template, mandatory fields and coding rules before the project starts. A sample file is tested before full delivery to reduce import errors.

How are untagged assets or items that do not match the register handled?

They are recorded as exceptions under a temporary identifier with available details, then referred to the client's responsible person for identification, capitalisation or exclusion. Taqdeer does not make ownership or accounting-policy decisions on the client's behalf.

Can the inventory cover several cities or operational sites?

Yes. The project uses a site schedule, local coordinators, access and safety planning, and consistent data rules. Timing reflects site volume, travel, operating restrictions and the availability of client representatives.
